1. Who operates these tools
The Mentor Coaching Tools are operated by Tandem Coaching Partners, LLC, Dallas, Texas, USA (“Tandem,” “we,” “us”). This notice applies only to the free forms hub, the six standalone ACC, PCC, and MCC forms, and their official-PDF export flow on tools.tandemcoach.co. Tandem’s other websites, programs, and account-based services have different data practices.

2. What is processed

We do not ask for audio, video, recordings, or full transcripts in these standalone tools. Minimize personal information in evidence and comments. Do not include sensitive or special-category information unless it is necessary and you have a lawful basis and appropriate permission to use it.
3. Browser-local work and storage
The forms use browser storage for autosave, named local saves, tour preferences, and a temporary export receipt that can resume a pending download. This storage is functional—not advertising tracking—and remains under the control of the browser profile on that device.
To remove it, use the form’s clear/reset controls where offered or clear site data for tools.tandemcoach.co in your browser. Downloaded PDFs and form files remain wherever you saved them and must be deleted there separately. Private or shared-device users should close the form and clear site data after use.
4. Official ICF PDF export
An official export is the only form-content action that sends a snapshot to Tandem. Before transmission, the form shows the export boundary and asks you to confirm.
Session Observation Forms may send
Mentor and client names and emails, relevant dates and session reference, statement calls, bounded evidence excerpts and mentor comments, strengths and development feedback, confirmations, determination, and the applied typed, drawn, or uploaded signature derivative.
Competency Review Forms may send
Mentor and client names and emails, review date and hours, bounded session-log rows, cumulative item and competency calls, ethics information, strengths and development feedback, confirmations, determination, and the applied signature derivative.
Browser revision history, original signature uploads, local filenames, imported source files, reflections without an official-template destination, unrelated browser storage, and other device data are not part of the export contract.
The service validates the snapshot, queues it in memory, creates the requested PDF, and makes that file available through an unguessable one-job receipt. It does not use the content for AI, marketing, email, assessment decisions, or a CoachGrader account. The result is deleted after the first successful download or bounded expiry. A service restart may remove an unfinished job; your local form remains available to try again.
5. Infrastructure, security measurement, and analytics
Cloudflare helps deliver and protect the pages, validate human export requests through Turnstile, and provide privacy-first aggregate Web Analytics and real-user performance measurement. The pages do not author an analytics cookie, user identifier, form-field event, or custom behavior event. Analytics does not read form values, browser saves, signatures, or export payloads.
Cloudflare and web infrastructure may process standard request and security metadata needed to deliver pages, prevent abuse, diagnose availability, and measure aggregate performance. Exporter logs are designed to exclude form bodies, names, emails, comments, signatures, generated files, job secrets, and security tokens.
6. Why we process data
Depending on the law that applies, Tandem processes data to provide the page or official export you request, to pursue legitimate interests in security, reliability, abuse prevention, and aggregate service measurement, and to meet legal obligations. We do not make automated decisions about you or your client.
If you enter information about a coaching client or another person, you are responsible for giving any required notice, obtaining any required consent or other lawful authority, honoring confidentiality, and limiting the information to what is necessary for mentor coaching documentation.
7. Retention
- Browser-local work: remains until you clear it, overwrite it, remove the browser profile, or delete downloaded files.
- Official export snapshot and PDF: remain only while queued, converting, awaiting first download, or within the bounded expiry window, then are removed.
- Content-free operational and aggregate information: is retained according to security, reliability, Cloudflare, and legal requirements. It is not used to reconstruct form content.
8. Your choices and privacy rights
Depending on your location, you may have rights to know or access personal data, correct it, delete it, restrict or object to processing, receive a portable copy, appeal a denied request, or complain to a regulator. We do not sell personal information or use it for targeted advertising, so there is no sale or targeted-advertising opt-out flow.
Email info@tandemcoach.co with “Mentor Coaching Tools privacy request” in the subject. We may need proportionate information to verify a request. Because ordinary work is local and official exports are ephemeral, we often cannot identify or retrieve content after it has been downloaded, expired, or deleted. You can appeal our response at the same address. Applicable rights to contact the Texas Attorney General or your local supervisory authority remain available.
9. Security
We use transport encryption, edge protections, human verification, strict closed-schema validation, bounded queues, unguessable one-job receipts, temporary processing, content-free application logging, and automatic result deletion. No online service can promise absolute security. You are responsible for device security, safe storage of downloads, and choosing evidence that does not disclose more than necessary.
10. International use
Tandem is based in the United States, and an official PDF snapshot is processed in the United States. If you use the tools from another country, your explicit official-export request transfers the confirmed snapshot to the United States. Do not use official export if your professional, organizational, contractual, or legal obligations prohibit that processing. Browser-local work does not send form content to Tandem.
11. Children
These professional mentor coaching tools are not directed to children under 13 and are intended for adults. Do not enter a child’s personal information. If you believe a child has sent information through official export, contact us promptly.
12. Changes and contact
We will update this notice before materially changing what the tools send, store, measure, or retain. The effective date and version at the top identify the current notice. Material changes are not applied retroactively where law requires another basis or notice.
